P.11The platform · Accounts payable

The invoice is matched before anyone pays it.

The invoice comes in through the vendor portal with its purchase order. Vigía Legal validates it, walks it through the approval chain and builds the payment proposal for your bank. No out-of-compliance invoice reaches the payment proposal. The control sits at intake, not in the ERP.

01Why it matters

The ERP posts correctly. But it receives the invoice already approved.

An invoice gets paid against an email and an order that lives in another system. The amount doesn't match, or the vendor still owes the payment complement for the last one. It surfaces later, as a lost deduction or joint liability.

02What it does

From intake to the bank file, with a stage at every step.

The invoice as an object, with a stage

Received, in validation, approved, scheduled, paid. Every change is recorded with date, actor and reason. The vendor sees it in their portal.

Intake that validates

CFDI 4.0 rules, status with the SAT, the period's REPSE file, the 69-B and article 69 lists. Matching against the purchase order, with configurable tolerances. The reason names the data — which document is missing, which invoice owes its payment complement.

Chained approval

As many steps as your policy requires, by role or by person, with a minimum amount. Nobody signs the same invoice twice. Each approver sees only their own step.

Payment proposal in your bank's layout

Approved invoices are grouped with their goods-receipt reconciliation and each vendor's CLABE. The file comes out in the format your bank reads. When you mark it paid with the receipt, the vendor is notified.

Credit notes and payment complements

A credit note lowers the amount payable. A pending payment complement holds the same vendor's new invoices until it arrives.

03How it integrates

Posting and executing the payment stay in your ERP.

The purchase order comes in by file with a configurable layout, or by API. If approval lives in your ERP, Vigía Legal receives the stage by API and notifies the vendor. The payment verdict is queried from Coupa, Oracle or SAP in the same call as always.
